Privacy notice
What we hold, why we hold it, and how to make us stop.
1. Who is responsible for your data
JADAMA is responsible for the personal data described in this notice. You can reach us at info@jadama.org.
2. What we collect
When you enquire: your name, email address, mobile number, country of residence and whatever you tell us in the message field.
If you become a member: your full contact details, date of birth, nationality, occupation, the names and contact details of household members you ask us to act for, your preferences (hotels, rooms, restaurants, seating, vehicles, interests), and a record of the arrangements we make for you.
Dietary requirements, allergies and related preferences, where you choose to give them to us. See section 5.
We do not collect payment card details through this website. There are no card fields anywhere on it. We do not store card numbers, expiry dates or security codes in any system, in any form.
We do not ask you to upload identity documents through this website. Where a supplier requires identification, you provide it to them directly or we record only that it was verified, not the document itself.
4. Why we may use it, and on what basis
- To decide on your application and to provide the membership — because it is necessary to perform our contract with you, or to take steps before entering into it.
- To make arrangements for your household members, guests and staff — on the basis of our legitimate interests in providing the service you have asked for. We have carried out a balancing assessment and will provide it on request.
- To keep records, manage our business and comply with legal obligations — legitimate interests and legal obligation.
5. Dietary, allergy and belief-based information
Information about allergies and medical diets is health data. Information about diets arising from religious or philosophical belief reveals that belief. Both are “special category” data and receive additional protection in law.
We hold this information only where you have given us separate, explicit consent to do so. That consent is asked for on its own, is not bundled with our terms, and is never a condition of membership.
You may withdraw it at any time by writing to info@jadama.org. Withdrawal will not affect arrangements already made, and we will tell you plainly what we can no longer do for you as a result.
6. Who we share it with
We share only what is necessary, and only with:
- Suppliers you have asked us to arrange something with — hotels, villa owners and agents, restaurants, transport operators, marine and event suppliers, medical practices, staff agencies
- Our professional advisers — solicitors, accountants, insurers
- Our technology providers, under written contract — email, hosting, records
- Public authorities, where we are required by law to do so
We do not sell personal data. We do not share it for anyone else’s marketing.
7. Sending data outside the United Kingdom
Providing this service necessarily involves sending information to France and Monaco.
France is covered by a United Kingdom adequacy decision, so transfers there need no additional safeguard.
Monaco is not covered by a United Kingdom or European Union adequacy decision. Where we send your information to a supplier in Monaco, we do so under an International Data Transfer Agreement or the UK Addendum, supported by a transfer risk assessment. A copy is available on request.
8. How long we keep it
We keep information only for as long as it is needed to respond to an enquiry, provide membership, meet legal obligations or resolve a dispute. Preference and dietary data are deleted on request or when consent is withdrawn, unless the law requires otherwise.
9. Your rights
You may ask us for a copy of your data; ask us to correct it; ask us to delete it; ask us to restrict how we use it; object to our use of it where we rely on legitimate interests; ask for it in a portable form; and withdraw consent where we rely on consent.
We will respond within one month. There is no charge.
10. Complaining to us directly
Since 19 June 2026 you have had the right to complain to us directly about how we handle your personal data, before going to a regulator.
Write to support@jadama.org with “Data protection complaint” in the subject line. We will acknowledge it within 30 days, take appropriate steps to look into it, and tell you the outcome.
This right exists under United Kingdom law and does not exist under the EU GDPR. We offer it to everyone regardless of where they live.
11. Complaining to a regulator
You may also complain to the Information Commissioner’s Office (ico.org.uk), or, if you are in the European Union or Monaco, to your own supervisory authority or to the Autorité de Protection des Données Personnelles in Monaco.
12. Changes
If we change this notice we will update the date at the top and, where the change is significant, tell members directly.
